APL Spaces
Guidelines for Space Use at the Airdrie Public Library

- Available rooms are bookable from our website. Reservations can be made ONLINE ONLY.
- Payment and reservations must be made 24 hours in advance. Bookings are fully refundable up to 24 hours prior to the booking start time. No refunds for cancellations within 24 hours.
- All Users must sign in at a public service desk to obtain a room use access card.
- User-supplied catering is only allowed in our Fortis Program Room 2. Low impact snacks defined as “cold” and “low mess”, and beverages in sturdy, spill proof containers are allowed.
- Spills should be reported to library staff immediately.
- All trash and recycling must be placed in the appropriate receptacles.
- Patrons are expected to leave the space as clean as, or cleaner than they found it.
- Furniture must be returned to its pre-occupancy position.
- Room card must be returned to a public service desk at the end of the reservation.
- There will be a $50.00 replacement charge for lost room access cards.
Space Use TERMS & CONDITIONS
- Bookings cannot be made for more than three months in advance unless express permission is received from APL.
- Bookings must be received a minimum of 24 hours prior to the use of the room.
- You must be 18 years of age and have a valid Airdrie Public Library membership to reserve spaces at the Airdrie Public Library.
- Full payment is required at time of booking to guarantee your space. All forms of payment can be made in person at our Customer Service Desk, or by credit card through our online payment portal.
- Room bookings are fully refundable up to 24 hours prior to the booking. Cancellations received with less than 24 hours’ notice of the meeting date and time will be subject to the full cost of the booking.
- Please check in at the Customer Service Desk prior to your reservation to obtain a room use card.
- Cards must be returned at the end of the rental period. Lost or unreturned cards will be charged a $50.00 replacement fee.
- The room must be clean and in the same condition as you found it. Furniture and equipment should be replaced in its original location. Any damage may be subject to additional charges.
- Alcohol, smoking, and vaping are not permitted.
- Users may not disrupt the use of the library by others. People using the meeting rooms are subject to APL Rules of Conduct.
- APL Meeting space cannot be rented by a business as its primary operating space.
- Granting permission to use APL facilities does not constitute an endorsement of the group or its beliefs by APL.
- APL reserves the right to refuse or limit the use of the spaces to any group.
- APL reserves the right to allow Library staff, security, or custodians to enter a space at any time.
- APL cannot be responsible for items left in the room. Equipment, supplies, or personal effects cannot be stored or left in the space before or after use.
- APL programs are given first priority for the spaces. APL reserves the right to cancel bookings with two weeks’ notice if needed for library programming. All efforts will be made to avoid cancellations.
- All users assume full responsibility and liability for the space use. Any vandalism, disruptive behavior or extended use of allotted time may be subject to additional charges and/or loss of privileges.
- Space users should make themselves aware of all emergency exit routes.
- Lighted candles or flames are not to be used within APL, including its meeting rooms.
All users agree to indemnify and save harmless The Airdrie Public Library and the City of Airdrie from and against all claims, demands, losses, costs, damages, actions, suits, or proceedings arising out of, or in any way related to the rental of the facilities under this agreement. Without restricting the generality of the foregoing, the lessee shall be responsible for any loss or damage to the facility property or equipment, howsoever caused, arising out of the rental of the facility.
The personal information collected through the Airdrie Public Library is used to facilitate and manage services, programs/ event, or space usage provided by the library. This collection is authorized by section 4, subsection C, of the Protection of Privacy Act. For questions about the collection of personal information, contact human.resources@yourapl.ca.
